1. Scope and who we are

NORTHREIN provides web design, search optimization, website management, and related digital services. This Privacy Policy applies to personal information collected through northrein.com, our contact and project inquiry forms, and communications connected with our services. In this policy, “NORTHREIN,” “we,” “us,” and “our” refer to NORTHREIN, and “you” refers to a website visitor, prospective client, client, vendor, or other person who interacts with us.

This policy does not govern third-party websites, platforms, or services that may be linked from our website. Their own privacy notices and terms apply when you use them.

2. Personal information we collect

The information we collect depends on how you interact with NORTHREIN. We seek to collect only information that is reasonably useful for operating our website, responding to you, and delivering our services.

Information you provide directly

  • Contact details: your name, email address, telephone number, company or organization, and preferred way to be contacted.
  • Project and business information: details about your website, goals, audience, requested services, timeline, estimated budget, technical environment, and other information you include in an inquiry or consultation.
  • Communications: messages, attachments, feedback, support requests, and records of correspondence with us.
  • Client administration information: billing contact details, transaction records, agreements, and information needed to provide and support contracted services. Payment card information, when applicable, is generally handled by the payment provider rather than stored directly by NORTHREIN.

Information collected automatically

When you visit the website, our hosting, security, and analytics technologies may receive technical information such as your Internet Protocol address, browser and device type, operating system, referring page, pages viewed, approximate location derived from an IP address, date and time of access, and diagnostic or security events. We may also use cookies or similar technologies as described below.

Information from other sources

We may receive business contact information from referrals, public business directories, service providers, social networks when you interact with our business profile, or a person who asks us to contact you. We may combine that information with information you provide, where permitted by law.

Sensitive information

Please do not send Social Security numbers, government identification numbers, account passwords, medical information, or other highly sensitive personal information through the website or ordinary email. NORTHREIN does not request this information through its general contact form.

3. How we use personal information

We may use personal information to:

  • respond to inquiries, schedule conversations, prepare proposals, and communicate about requested services;
  • create, manage, secure, maintain, and support websites and other client projects;
  • administer client relationships, contracts, billing, records, and customer service;
  • operate, troubleshoot, measure, protect, and improve our website, services, content, and user experience;
  • understand general website usage and the effectiveness of our communications;
  • detect, prevent, and investigate spam, fraud, abuse, security incidents, and other harmful or unlawful activity;
  • comply with legal obligations, respond to lawful requests, establish or defend legal claims, and enforce our agreements; and
  • send service-related messages and, where permitted, relevant business or marketing communications. You may opt out of marketing email at any time.

Where a law requires a legal basis for processing, we rely as applicable on your consent, steps taken at your request before entering a contract, performance of a contract, compliance with law, and our legitimate interests in operating a secure business, responding to prospective clients, and improving our services. Where we rely on consent, you may withdraw it at any time without affecting processing that already occurred.

4. How we disclose personal information

NORTHREIN does not sell personal information for money. We also do not knowingly share personal information for cross-context behavioral advertising. We may disclose information only as reasonably necessary in the following circumstances:

  • Service providers: hosting, content delivery, security, email, form processing, analytics, project management, cloud storage, billing, and other vendors that perform services for us. They receive information appropriate to their role and are expected to protect it.
  • Professional advisers: accountants, attorneys, insurers, and consultants where disclosure is reasonably necessary for professional advice or business operations.
  • Legal and safety purposes: government authorities or other parties when we reasonably believe disclosure is required by law, legal process, or a valid request, or is necessary to protect rights, safety, security, and property.
  • Business changes: a prospective or actual buyer, successor, financing source, or adviser in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to appropriate protections.
  • At your direction: another party when you ask us to share information or provide consent.

We may use and disclose aggregated or de-identified information that cannot reasonably identify you. We do not attempt to re-identify information maintained in de-identified form.

5. Cookies, analytics, and browser signals

Cookies are small text files stored on a browser or device. NORTHREIN and its service providers may use essential cookies to operate forms, maintain security, remember preferences, balance traffic, and provide core website functions. We may also use limited measurement technologies to understand visits, page performance, and how people find and use the website.

You can usually remove or block cookies through your browser settings. Blocking essential cookies may prevent some website features from working correctly. Browser privacy signals, including Global Privacy Control where legally required, may be treated as an opt-out request for the browser or device sending the signal. Because there is not yet a uniform standard for all “Do Not Track” signals, the website may not respond to every such signal.

6. Your choices and privacy rights

Depending on where you live and subject to legal exceptions, you may have the right to request access to the personal information we hold about you; obtain a portable copy; correct inaccurate information; delete information; restrict or object to certain processing; withdraw consent; and opt out of the sale of personal information, targeted advertising, or certain profiling. You may also have the right to limit certain uses of sensitive personal information and to appeal a decision on a privacy request.

You may exercise an applicable right by emailing hello@northrein.com with the subject line “Privacy Request.” Please describe your request and the state or country where you reside. To protect your information, we may ask for information reasonably necessary to verify your identity and authority. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and verification directly from you.

We will respond within the period required by applicable law and explain if we need additional time or cannot fulfill all or part of a request. You may appeal a denied request by replying to our decision with “Privacy Appeal” in the subject line. We will not discriminate against you for exercising an applicable privacy right.

California notice

California residents may have rights to know, access, correct, and delete personal information; to opt out of sale or sharing; to limit certain uses of sensitive personal information; and to receive equal service and pricing. During the preceding 12 months, NORTHREIN may have collected the categories described in Section 2—identifiers, internet or electronic activity, commercial and professional information, and inferences drawn from project needs—and used and disclosed them for the business purposes described in Sections 3 and 4. NORTHREIN has not sold personal information for money and does not knowingly sell or share the personal information of consumers under 16.

7. Data retention

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including to provide services, maintain business and transaction records, resolve disputes, enforce agreements, comply with legal or accounting requirements, and protect the website and business. The specific period depends on the nature and sensitivity of the information, the relationship involved, applicable limitation periods, and legal obligations. When information is no longer needed, we take reasonable steps to delete, anonymize, or securely dispose of it.

8. Information security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information in light of its nature and the risks involved. These measures may include access controls, vendor review, software updates, backups, security monitoring, and secure transport where appropriate. No website, email transmission, system, or storage method is completely secure, so we cannot guarantee absolute security.

9. Children’s privacy

The NORTHREIN website and services are intended for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided personal information to us, contact us so we can review and, where appropriate, delete it.

10. International visitors

NORTHREIN is based in the United States. If you access the website from another country, your information may be processed in the United States or other places where our service providers operate. Privacy laws in those locations may differ from those in your country. Where required, we use an appropriate legal basis and safeguards for international transfers.

11. Changes to this policy

We may update this Privacy Policy to reflect changes in our services, technology, business practices, or legal obligations. The “last updated” date at the top identifies the latest revision. Material changes may also be communicated through the website or directly when required by law. Your continued use of the website after an update is subject to the revised policy.
